The Canada Document Checklist, and the Logic Behind It
The list of documents is not a secret. Assembling them into a file that reads as one consistent story is the actual work — and it is where most refused applications lose.
Why a list on its own doesn't help
Search for a Canada visa checklist and you will find twenty of them. They are broadly correct and almost entirely useless, because a visa officer is not ticking items off a list. They are reading a set of documents and forming a judgement about whether the trip you describe is real and whether you will come home.
Almost every refusal we see is a file where every required item was present. What was missing was agreement between them. A leave letter that ends before the return flight. Savings that appear three weeks before applying. An itinerary covering cities the hotel bookings do not match.
So this guide is organised the way an officer reads a file, not the way a checklist prints.
The five blocks of a Canada file
Every visitor application is built from the same five groups. Understanding what each one is for tells you what it has to show.
1. Identity and the forms
Your passport, previous passports carrying old visas and stamps, and two forms: IMM 5257, the application for a temporary resident visa, and IMM 5645, the family information form. A digital photograph to the 35 × 45 mm specification, white background, face filling roughly 80 per cent of the frame.
IMM 5645 is the one people rush. It asks about your parents, siblings, spouse and children — including relatives in Canada. Leaving a sibling in Toronto off that form does not hide them; it turns an ordinary family visit into an inconsistency. Declare relatives and explain the visit. Concealment is the problem, not the relative.
2. Money, read as a story
Six months of bank statements, fixed deposits, savings records — and income tax returns. IRCC publishes no minimum balance, which is why every blog quotes a different number.
What our desk expects to see, as a working guide rather than an official rule:

These are our desk's expectations from files we have filed, not a figure any consulate states. A smaller balance is not fatal if the trip is modest and the money is plainly yours. A large one is not decisive either — a ₹20 lakh balance that arrived last month argues against you, where ₹9 lakh accumulated steadily over years argues for you. If a genuine lump sum did come in — property sale, bonus, gift, maturity — document where it came from and put that document in the file.
3. What you do, and why you come back
This is the block that decides most applications, and it is the one that differs by occupation.
Salaried applicants provide an ID card or appointment letter, a sanctioned leave letter or NOC from the employer, three months of salary slips or bank credits, and where possible a GPF statement. The leave letter must cover your actual travel dates and say you are expected back.
Business owners provide the registration document — MOA, AOA, certificate of incorporation, partnership deed or business PAN — plus the GST certificate with three months of returns, and three months of current account statements. A running business with filed returns is among the strongest ties to India there is.
Agricultural applicants — a large share of applications from Punjab and Haryana — provide a property valuation report with the Fard or Jamabandi record, and lease agreements or J-forms covering the last two years. Punjabi documents need notarised English translation. A Tehsildar income certificate is accepted in place of the lease records. This is the block that most generic checklists ignore entirely, and the one farming families are most often sent back to redo.
Retired applicants provide the pension payment order and bank statements evidencing the pension credits.
4. The trip itself
A confirmed return flight reservation — a held booking with a live PNR, not a purchased ticket — accommodation covering every night, and a day-wise itinerary that matches both. Canada does not require you to buy a ticket, and you should not; see our guide to flight reservations for visa applications.
Keep the itinerary honest. Three cities in ten days is a holiday. Eight cities in ten days is a document written to impress an officer, and reads that way.
5. Your host, if you have one
If family or friends in Canada are inviting or funding you, their paperwork becomes part of your file: an invitation or notarised sponsorship letter, their passport and visa or PR card, citizenship card, work or study permit as applicable, proof of their address, an employment letter, and tax assessments for the last two years. A student host adds their enrolment verification or ID card.
One more thing people forget. The fee is paid online by card — a credit card, or a debit card with international payment enabled, and in practice a Visa or Mastercard from a private bank works most reliably. Sorting this out on the day you are trying to submit is a bad time to discover your card does not work abroad.
The sequence that costs people weeks
Assemble the file, submit online, pay, then book biometrics at a VFS centre. Processing does not start when you pay — it starts when IRCC receives your biometrics. An application submitted early with a biometrics appointment a month out has not started moving. Book that appointment the day you pay.
Published processing from India has run 26–45 days through 2026 and longer in peak season, on top of whatever the biometrics wait adds.
Before you submit, check these five
- Names match everywhere — passport, forms, bank statements, employer letter, bookings. Middle names and initials included.
- Leave dates cover the travel dates, with a return expected.
- Every large credit is explained by a document in the file.
- Flights, hotels and itinerary describe one trip, not three drafts of one.
- Previous refusals are declared — from any country. Non-disclosure is treated as misrepresentation and carries a five-year ban.

A Canada visitor file is not difficult to assemble. It is easy to assemble carelessly, and the cost of that is CAD 185 and two months. Gather the documents that describe your actual life, check that they agree with one another, and explain anything that looks odd before an officer has to guess at it.
