The Cover Letter for a Tourist Visa
A good cover letter is one page that lets a busy officer understand your whole trip in a minute. A bad one is a copied template that contradicts your own bookings.
Is a cover letter needed?
For Schengen visas from India, usually yes. Germany's official checklist lists a "personal covering letter" with proof of transport and itinerary, and Italy's checklist at VFS lists a covering letter, on company letterhead if you are a proprietor. Other countries may not ask for one; always follow the current checklist of the country you apply to.
The letter does not add new facts. It ties together the facts your other documents already prove.
A simple six-part structure
- Who you are: full name, passport number, occupation, and city in India.
- The trip: purpose, exact dates, and the countries with nights in each.
- Why this consulate: for Schengen, one line on why this country is your main destination (most nights, or the main purpose).
- Who pays: yourself, or a named sponsor, and which documents show it.
- Why you will return: your job with leave dates, your business, your family and property in India.
- A list of enclosed documents, in the same order as your file.
Sign and date it. One page is enough; two at most.
A short example
To the Visa Officer, Consulate of Switzerland.
I, [name], passport [number], am a pharmacist running my own shop in Panchkula. I request a
Schengen tourist visa for my wife and me from 12 to 22 May 2027: France 2 nights,
Switzerland 5 nights and Italy 3 nights. Switzerland is our main destination by length of
stay.
I will pay for the trip from my savings; my bank statements and ITR are enclosed. My
business, my house in Sector 12 and my mother, who lives with us, bring us back to India on
22 May. Our return tickets and hotel bookings for every night are enclosed.
Enclosed: [list].
That is the whole job: the trip, the money and the return, in plain words, matching the papers behind it.
Mistakes that make the letter work against you
- Dates or nights that differ from the hotel bookings or flights.
- A copied template with someone else's details or flowery language.
- Promises instead of proof: "I will surely return" means little without the papers that show why.
- Hiding a sponsor or a previous refusal. Declare both.
- Too long: three pages of travel dreams bury the facts the officer needs.
A last check before you print
Put the letter next to your form, hotel bookings, flights, leave letter and bank statement. Every date, name and number should match. If one does not, fix the document, not the letter.
